Keeping your deposit paperwork, photos, and messages organized in one place makes it much easier to respond clearly if part of your deposit is withheld.

A note on official forms: this checklist is a personal documentation aid. It is not a substitute for any condition or inspection form your landlord, your lease, or a housing program requires. If you're given an official form, complete and return that form as well.
- Gather your move-in photos, video, and written condition notes.
- Gather your move-out photos, video, and written condition notes.
- Save a copy of your signed lease showing the deposit amount you paid.
- Save your original deposit payment receipt or bank record.
- Save any written move-in or move-out condition report signed by you or your landlord.
- Save your forwarding address confirmation and the date you sent it.
- Save any itemized deduction statement your landlord sends you.
- Compare each claimed deduction against your move-in photos to check whether the damage was already there.
- Note whether each claimed deduction looks like normal wear and tear rather than damage.
- Save receipts for any cleaning or repairs you completed yourself before moving out.
- Save copies of all written communication with your landlord about the deposit.
- Check your state's deadline for the deposit return and any itemized statement (the app shows it).
